Seeking a highly organized and detail-oriented Employee Support Coordinator to be responsible for the onboarding of new employees, record keeping, data entry, audit time, housing assignments, and compliance for the HR and HSE departments.

Job Responsabilities

  • Coordinate and execute the entire onboarding process for new hires, including offer letters, scheduling drug tests, submitting background checks, and scheduling new hire orientations.
  • Prepare and distribute new hire packets, ensuring all necessary documents are completed and accurately and on time.
  • Ensure all new hire documentation is completed and accurately and submitted in a timely manner.
  • Assist with the preparation and maintenance of employee records.
  • Support HR and HSE teams with general administrative tasks, including filing, data entry, and document management.
  • Assist in organizing employee engagement activities and events to promote a positive workplace culture.
  • Ensure compliance with company policies, procedures, and legal requirements.
  • Assist in maintaining accurate and up-to-date records for audits and reporting purposes.
  • Support the HSE team in monitoring and reporting on safety compliance and incident documentation.
  • Ensure all time punches are entered, approved, and properly allocated.
  • Responsible for maintaining accurate housing assignments.
  • Answer the phone for the main number into the office.
  • Assist guests when they come into the office.
  • Perform other duties as assigned.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at time

Qualifications

  • High school diploma or equivalent required; associate’s or bachelor’s degree in Human Resources, Business Administration or a related field preferred.
  • Must be bilingual in Spanish
  • 2+ years of experience in an administrative role, with a focus on HR and HSE functions.
  • Strong organizational and time-management skills with a an eye for detail.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with discretion and professionalism.
